After a decade of installing and servicing commercial HVAC equipment, I've collected my share of expensive lessons. This checklist is for contractors and facility managers who are ordering AAON heating & cooling products—especially renovation or aftermarket jobs—and don't want to repeat my mistakes. Six steps, and every one of them has a story behind it.
Why I Built This Checklist
In March 2023, a failed compressor on a fairly big AAON unit turned a two-day recovery job into a ten-day ordeal. The vendor had the right box? No. One wrong model number on the order, and a $48,000 system sat dead while we paid for expedited freight and lost a customer's trust. That's when I stopped trusting memory and started making a checklist.
Here's the thing: the checklist isn't for people new to HVAC. It's for experienced guys and gals who've been burned enough to know better—but still need to slow down on a Tuesday afternoon.
The 6-Step AAON Order Checklist
Step 1: Pull the Actual Model Plate, Not the One in Your Head
The first mistake I made was ordering based on the model number on the submittal drawing. It was close—but close doesn't pay the bills. AAON units can be built with different blowers, coil options, and refrigerant circuits.
Take a picture of the model plate with your phone and zoom in on the suffix codes. Do not trust the exterior label either; sometimes a building owner stickers a new number over the old plate.
Checkpoint: The model, serial, and if possible the original submittal document.
Step 2: Confirm the Compressor Type—Digital Scroll vs. Fixed Scroll
This is the one that's cost me the most sleep. An AAON digital scroll compressor is not a standard fixed-scroll compressor with a shinier label. The digital version uses capacity modulation via an unloader mechanism. If you replace it with a fixed scroll compressor, the unit will still cool—usually—but the controls won't modulate correctly. You'll get erratic operation, short cycling, and a possible warranty fight.
Why does this matter? Because visually the two compressors are almost identical. The difference is in the control wiring and the unloader valve. When in doubt, compare the wiring diagram on the compressor with the one in the unit's control panel.
I once had a quote for a non-OEM replacement that was $1,200 less than the AAON part. The downside risk was a mismatch in the modulation signal. I kept asking myself: is saving $1,200 worth potentially voiding the warranty? It isn't. I ordered the right part, but I didn't relax until I physically compared the wiring diagram.
Checkpoint: Is the compressor model listed as "digital scroll" or "variable capacity" in the parts system?
Step 3: Check the Thermostat and Controls Before You Condemn Them
So many callbacks start with a thermostat question. One of the most common searches I see is "how to reset honeywell thermostat with no reset button". That's a real issue, but the answer is usually basic.
Most non-programmable Honeywell thermostats don't have a physical reset button. The simplest reset is to pull the thermostat gently from its backplate, wait roughly 30 seconds, and push it back on. That clears stored conditions and often recovers a stuck display. If that doesn't work, turn off the power to the HVAC system at the breaker for 30 seconds.
But here's the pitfall: if the thermostat is connected to a commercial AAON controller, a simple thermostat reset won't clear a fault on the equipment controller. You need to clear the fault at the controller itself. I've watched a building manager press buttons on a Honeywell thermostat for ten minutes while the AAON controller was flashing a high-pressure lockout. Let me rephrase: the thermostat is the messenger, not the receiving dock.
Checkpoint: Know whether the thermostat is actually talking to the AAON controller or standing alone.
Step 4: Inspect the Unit With the Truck Driver Still There
When an AAON heating & cooling product arrives, the receiving dock is where delay lives. I had a shipment where the packaging looked perfect from the outside, but the forklift had poked a hole in the condenser coil under the cardboard. It wasn't caught until the riggers set the unit on the curb. That mistake turned into a two-week wait for a coil and a very awkward conversation with the building owner.
The fix is simple: open the panels, walk around the unit, check for condensation in the packaging, and note any damage on the delivery receipt. The driver will not love you, but your insurance will.
Checkpoint: Photo documentation of every side, top, bottom, and serial plate before the driver leaves.
Step 5: Get the Startup Sequence Right
One thing I learned the hard way: you can't just power up an AAON unit with a digital scroll compressor and expect it to self-heal. The controller needs to go through its startup sequence, verify the low pressure and high pressure sensors, and then command the compressor to ramp.
If you bypass controls during testing, you can energize the compressor without letting the unloader valve home, which causes high head pressure trips. Not a catastrophic failure, but it looks bad when the client watches you reset the breaker three times.
Take the training manual out of the panel. Follow the startup sequence exactly. If the unit sits in a cold environment and the low-pressure sensor reads something odd, don't zero it out—investigate.
Step 6: Document Everything So the Next Person Doesn't Repeat My Mistakes
Getting fooled by an obscure part number is bad. Not writing it down is worse. After every job, catalog what you ordered, why you ordered it, and where you got it. This is also how you protect yourself with small clients.
I believe small orders deserve the same attention as large ones. When I was starting out, a $200 part order for an AAON water-source heat pump was treated like a nuisance by one distributor. Another took the order seriously, even called the next day to confirm the compressor type. That distributor still gets my business for bigger projects now. Small doesn't mean unimportant—it means potential.
Checkpoint: Is there a job folder with model, serial, control diagram, and vendor contact?
Some Notes About Product Confusion
Product category confusion caused another round of expensive mistakes. For example, a pool heater and an AAON water-source heat pump are both heating devices, but they're not interchangeable without the right heat exchanger. I had a customer who wanted to use a residential pool heater in a commercial spa application because it was cheaper. It worked for two days. Wrong metallurgy, no service access, and the warranty was immediately void.
Another one: a compressed air dryer is sometimes described as a "refrigerated dryer." That does not mean it can be used as a refrigerant dryer in an HVAC system. Different refrigerant, different pressure rating, and absolutely different piping connections. I once saw a purchase order for an "AAON compressor" that itemized a compressed air dryer. The supplier caught it, but if they hadn't, it would have been a very expensive paperweight.
Final Reminders
You'll notice this checklist doesn't have a clever conclusion. It's just a list of things I've messed up, in order of how much they hurt. Copy it, add your own mistakes, and send it to whoever orders your equipment.
At least, that's been my experience with commercial AAON units. Your controls could differ, so always check the submittals and the actual controller panel. But the process for avoiding mistakes—verify model, verify compressor type, verify controls, inspect shipment, startup sequence, document—works no matter what brand you're working on.
