I am the office administrator for a 180-person contract packaging company. I manage about $600,000 a year in equipment and supply orders across 14 vendors. I report to operations and finance. - After-sales. Spare parts, remote support, manuals in English, and a local technician matter. A $2,000 saving disappears after two weeks of waiting for a $40 sensor.
What the wrong machine costs after it arrives
The purchase price is the easy part. The expensive part is what happens when the line stops. In Q3 2024, we had a bag sealer go down for four hours. Six people stood around. At $22 per hour, that is $528 in labor before we count the missed shipment. The vendor sent a part three weeks later. We rented a backup. The rental was $900. The part was $180. The real cost was closer to $2,000 when I added overtime and the customer credit.
I also made a classic mistake. I said as soon as possible. They heard whenever convenient. Result: delivery two weeks later than I expected. I knew I should get written confirmation on the deadline, but thought what are the odds. That was the one time the verbal agreement got forgotten. My VP asked why the cups were late. I did not have a good answer.
Another time, a vendor could not provide a proper invoice. Handwritten receipt only. Finance rejected $2,400 in expenses. I ate it out of the department budget. Now I verify invoicing capability before placing any order. (Note to self: put that check in the onboarding packet.)

- Shipping, customs, duties, and insurance.
- Installation, electrical work, compressed air, and training.
- Output per hour at your material thickness and resin.
- Labor, energy, and scrap rate at steady state.
- Spare parts kit, warranty terms, and response time.
- Compliance documents: FDA, ISO, OSHA, CE or UL as applicable.
- Payment terms and invoice format.
Then run a 36-month TCO. Add 20-30% buffer for the stuff you forgot (think freight surcharges, a second mold, or a voltage converter). Personally, I would rather pay $2,000 more upfront than lose $500 a month in scrap and downtime.
To be fair, some cheap machines work for prototypes or very low volume. But if you are buying a plastic cup machine price for production, the cheapest quote is rarely the cheapest line. Even after choosing the higher quote last year, I second-guessed. What if I overpaid? The two weeks until installation were stressful. I did not relax until the first production run hit 98% yield and the line ran six hours without a jam. The higher quote included training and a spare parts kit. That was the difference.
If you ask me, stop comparing equipment by sticker price. Compare cost per good unit over three years. Get everything in writing. Verify the invoice. Check the compliance. Then you can argue about price with real numbers.
